Who You Are
You are the person who makes things ship. Not someday. Not "when we get to it." On time, on scope, every single week.
You love the feeling of a clean project board. Every task assigned, every deadline visible, every blocker flagged before it becomes a crisis. You get genuine satisfaction from watching a campaign go live knowing that every piece landed where it needed to, when it needed to, because you made sure of it.
What you do not love: chaos that nobody is fixing. Missed deadlines that everyone shrugs off. Vendors who ghost on deliverables while leadership scrambles. You have worked in environments where marketing teams had great people doing great work but nothing shipped on time because nobody was driving the bus. That drove you crazy.
You want to be the person in the room who sees the full picture. You want a seat where you touch every project, coordinate every team, and make the machine run. You want to work for a company whose mission actually matters, where the projects you keep on track are not busywork but the reason real people find help they desperately need.
You are also excited about AI. You have used tools like Claude Code or other agentic AI systems to move faster, automate repetitive work, or improve how you manage projects. You are not waiting for someone to hand you an AI playbook. You are already experimenting.
If you are an organized, calm, results-driven project manager who thrives on keeping teams accountable and shipping work on schedule, keep reading.
About bVital
bVital is a brain regeneration center based in Park City, Utah, with a large and growing online presence and online programs. We specialize in helping people with Parkinson's improve function, reduce symptoms, and in some cases reverse decline. We help people with traumatic brain injuries and concussions reverse their symptoms and reclaim their lives. And we serve executives and high performers who want to protect their brain health long-term.
We are an AI-first, clinically grounded, heart-centered team building a company that manages by metrics and uses data to drive decisions at every level. The marketing team is active, ambitious, and producing a high volume of work across multiple channels. What we need is someone to make sure it all lands on time.
The Role
Project Coordination and Execution
- Run standups or weekly check-ins with the marketing team to keep projects on track and surface blockers early
- Manage timelines, deliverables, and dependencies in Asana: this is your command center
- Coordinate campaign launches end to end, making sure copy, creative, GHL setup, and ads are all aligned and live on time
- Organize briefs and intake requests from the team so nothing falls through the cracks
Vendor and Stakeholder Management
- Follow up with vendors, freelancers, and agencies on deadlines and deliverables
- Make the uncomfortable call when something is late. You are the one holding external partners accountable so leadership does not have to.
- Set clear expectations with every external partner and follow through consistently
Reporting and Visibility
- Flag blockers and escalate when things are stuck. You do not wait for someone to tell you there is a problem. You see it first.
- Report on project status to leadership with clear, honest updates. No spin, just where things stand.
- Track metrics and deadlines across internal dashboards to keep a pulse on what is on time and what is slipping
Cross-Functional Coordination
- Coordinate across content, ads, design, GHL, operations, and clinical teams
- Handle minor execution tasks as needed, but your primary job is coordination and oversight, not doing the marketing yourself
Who You Are
Must-Haves
- 5+ years of project management experience, ideally in a marketing or creative environment
- Proven experience managing multiple simultaneous campaigns or projects across different teams and timelines
- Vendor and freelancer management experience: you have held external partners accountable and driven deliverables to completion
- Strong proficiency in Asana or a similar project management tool. You do not just use it. You build the systems that make the team run.
- Cross-functional coordination experience across creative, content, ads, and operations
- Marketing knowledge: you understand funnels, email, paid ads, and content well enough to manage the work intelligently
- Strong reporting and status communication skills
- Experience using AI and agentic AI tools (Claude Code or similar) to improve workflows, automate tasks, or enhance project management
- Proof of projects managed and executed: show us what you have driven to completion and the results
Bonus Points
- PMP certification or formal project management credentials
- Experience in health, wellness, or DTC marketing environments
- Experience working with GoHighLevel or similar marketing automation platforms
You Will Thrive Here If...
- You always know where every project stands: where it is, where it is stuck, and exactly where to push to move it forward
- You are calm, confident, and collected when things get hectic. You prioritize, communicate, and execute.
- You are comfortable being the one who makes the tough follow-up call. You press vendors and external partners so your team does not have to.
This Is Not For You If...
- You cannot work across departments. A large portion of the projects you manage will require coordination between content, ads, design, GHL, operations, and clinical. If that sounds exhausting instead of exciting, this is not your role.
- You get overwhelmed by competing priorities and freeze instead of triaging. There is a lot to balance every single week.
- You avoid hard conversations. This role requires you to press vendors, flag missed deadlines, and hold people accountable. If confrontation makes you shut down, you will struggle here.
How You Will Be Measured
- On-time project delivery rate: this is the number that matters most
- Campaign launch readiness: everything coordinated and live on schedule
- Blockers identified and resolved per week
- Vendor and freelancer deliverable hit rate
- Internal team satisfaction: does the marketing team feel organized and supported?
